BYLAWS

OF THE

GALESBURG BOOTS AND

SADDLE CLUB

OF GALESBURG, ILLINOIS

CONSTITUTION

ARTICLE 1 – NAME

The name of this organization shall be Galesburg Boots and Saddle Club.

ARTICLE 2 – OBJECT

The object of this organization shall be the promotion and encouragement of interest in saddle horses,  riding, and good fellowship among horsemen; also the encouragement of equestrian activities for all club members and horsemen.

ARTICLE 3 – OFFICERS

The officers shall be:  a President, a Vice President, a Secretary, and a Treasurer.

ARTICLE 4 – CHAIRMEN

There shall be the following chairmen appointed:  1-PROGRAM, CARDS & FLOWERS; 2-SOCIAL; 3-TRAIL RIDE; 4-SHOW; 6-WAY AND MEANS; 6-GROUNDS; 7-FLAGS; 8 REPORTER; 9 RULES; AND SUCH OTHER CHAIRMEN AS MAY BE FOUND NECESSARY.

ARTICLE 5 – EXECUTIVE

The officers, chairmen, and Immediate past president shall constitute the Executive.

ARTICLE 6 – AMENDMENTS

Upon recommendation of the Executive Board, this, Constitution may be amended by a two-thirds vote of the members present at any regular meeting, provided that the amendment has been presented and read at a preceding regular meeting. 

BYLAWS

ARTICLE 1 – MEMBERSHIP

Any person(s) desiring membership in the Club may do so by becoming a member by payment of dues.

ARTICLE 2 – DUES

SECTION 1 – Dues are payable after January 1.  Membership shall run from January 1 – December 31 of the year paid in.

SECTION 2 – Membership categories are as following:

A:        FAMILY membership dues shall be $15 per family

B:        SINGLE – membership shall be $5 per individual 18 years and over.  (Upon achieving 18th birthday, member is required to Purchase a single membership and is no longer included Under any family membership.)

SECTION 3 – Any minor member of the Club under the age of 18 years participating or attending any activity of the Club involving the use of horses must be accompanied by and under the charge of his parent or a duly authorized adult appointed by their family.  Any minor member of the Club participating in or attending any activity of the Club involving the use of horses must have the consent of the child’s parent(s) or guardian to do so.

ARTICLE 3 – MEETING

General meeting shall be held on the fourth Thursday of each month at 7:00 p.m. Special meetings may be called by the President at any time it is considered necessary.  **Executive Board meetings will be called to order by the President as needed.

ARTICLE 4 – DUTIES OF OFFICERS

SECTION 1 – The President shall preside at all meetings of the Club and of the Executive Board; shall appoint special committees subject to the approval of the Executive Board.

SECTION 2 – The Vice President shall be prepared to serve at any time in the absence of the President and to perform such other duties as may be assigned to him/her.

SECTION 3 – The Secretary shall keep a record of all meetings of the Club and of the Executive Board; shall keep on file names of all officers and members of the committees; shall have available at all times a copy of the Constitution and Bylaws; and shall conduct the correspondence of the Club.

SECTION 4 – The Treasurer shall keep an account of all money collected and disbursed; shall pay all bills authorized by the Club or Executive Board; and shall make a monthly report to the club.  The Treasurer shall be bonded at the expense of the Club.  Checks written by the Treasurer shall have the signatures of both the President and the Treasurer.

ARTICLE 5 – DUTIES OF STANDING COMMITTEES

SECTION 1 – Executive Board – The Executive Board shall meet at any time necessary to transact any needed business between meetings of the Club and to appoint any necessary committees or directors.

SECTION 2 – Program Cards & Flowers – This committee shall arrange suitable programs for the Club meetings.  This committee shall also send cards to any hospitalized member, including those in a family membership.  Flowers shall be sent to the family of any deceased member or family member of members of the Club.

SECTION 3 – Trail Ride – This committee shall arrange a trail ride schedule and keep the ride, in laying out a suitable trail, arranging for refreshment trucks, selecting lunch sites, arranging games, contests, etc.

SECTION 4 – Social – This committee shall be responsible for any refreshments, music, decorations, etc. at regular and special meetings.  This committee may ask for volunteers at any time to help with their work or they may appoint as many members as they think necessary to assist them at any one time.

SECTION 5 – Show – This committee shall get Judges for the shows; shall do show bills for each show season and promote good sportsmanship at each show.

ARTICLE 6 – QUORUM

SECTION 1 – Ten percent (10%) of the total membership in good standing present at a meeting shall constitute a quorum for the transaction of business.

A)        Single membership – A single membership entitles the family to one vote if he is present.

B)        Family Membership – A family membership entitles the family to one (1) vote from EACH adult member of the family that is present.

ARTICLE 7 – ELECTION OF OFFICERS

Election of Officers shall be made at the December meeting.  The elected officers are to be seated at the close of the December meeting.  As nominations close for each office, the officers shall be elected by secret ballot in the following order:  President, Vice President, Secretary, and Treasurer.

ARTICLE 8 – AMENDMENTS

Upon recommendation of the Executive Board, these Bylaws may be amended at any regular meeting by a two-thirds vote of the members present, provided the amendments have been presented and read at a previous meeting.

ARTICLE 9 – CLUB EQUIPMENT

Club equipment, consisting of sound equipment, club flags, cones, show supplies, tables, etc. is not for any member’s personal use, but to be used or operated by a qualified Club member at Club authorized functions only.

ARTICLE 10 – LIABILITY

The Club and its assigns, and its officers and successors shall not be responsible for accidents or be liable for any property damaged or stolen (personal property or animals).

ARTICLE 11 – RECOGNITION AWARD

This award is presented to an outstanding person(s) with achieving excellent work during the year.  Must be a club member and does not have to ride or exhibit a horse.
